How to Use Bulk Invoice Payment QR Codes

An invoice gets paid faster when paying takes one scan instead of retyping a link or reference. Generating one code per invoice from a single CSV keeps every invoice consistent, and because each code carries its own invoice number, payments are far less likely to land against the wrong invoice.

Match each code to its invoice before sending

The costly mistake is a code that opens the wrong payment page. After generating a batch, spot-check several codes by scanning them and confirming the invoice number and amount on the payment page match the invoice. Never reuse a payment link across invoices.

Print and test before the batch goes out

Print a sample at the real size and scan it in normal office lighting, then confirm the scanned text matches the invoice. Keep the quiet zone clear, use dark modules on a light background, and keep the code away from folds and staple zones.

Frequently Asked Questions

What format do the rows need?

A header row InvoiceNumber,ClientName,Amount,PayLink, then one invoice per row. InvoiceNumber and PayLink are required, and the PayLink must start with http:// or https://.

What does each invoice QR code contain?

Plain text with the invoice number, client name, amount and the payment link. Scanning shows the payer exactly which invoice they are paying, which cuts down on misapplied payments.

Is my invoice list uploaded anywhere?

No. The CSV parsing and QR rendering happen entirely in your browser. Client names and payment links never leave the device.

Can I print the codes onto invoices?

Yes. Download the PNG or SVG per invoice and place it near the payment instructions on the invoice. Before sending, scan the printed code yourself and confirm it opens the right payment page for the right amount.
